Hudson Area Public Library District

Board of Trustees Meeting

104 W. Pearl Street

Hudson, IL  61748

 

The meeting was called to order by Dee Hinrichsen at 6:32 PM.  Quorum was established with the attendance of Margaret Wolf, Nancy Rinda, Laura Haas, Anne Colloton and Hinrichsen.   David Hoeper and Heather Plattner were absent.  Director Garman was also present.  The previous minutes were corrected, and motion to approve by Margaret Wolf.

 

Library Director and Youth Director Reports

-The census report added close to 800 names to the library district.  Garman spoke with Josh Thompson, Global Information Systems coordinator who will map the District; Garman will follow up with him and check annexation records to assess the determination of the district.

-Andrew Boettcher, summer intern for 100 hours, completed his work in the Hudson History Room with a creation of a "digital exhibition" attached to the library website and several other accomplishments.

-Two new volunteers have been very helpful for the library's busy summer season.

-The Summer Reading program numbers are down from last year, but the teen numbers are up with a fun Harry Potter theme including games of Quidditch on the lawn.

-Garman reported on library statistics which illustrate that young adult programming numbers are up while children programming and total attendance at the library is down.  She believes this is due to a change in how the numbers are determined; the numbers were previously determined  from an estimation and now actual counting is being done.

-David Brutlag asked if the Hudson Lions Club could sell tickets to a Circus they have invited to town the last week in August.  The Board okayed the sales as long as the library will not be held responsible in any way for any problems that may occur with the Circus' performance. Garman will write a disclaimer to this effect.  The Board appreciates the opportunity to collaborate with the Lions Club.

 

Secretary's Report

-Heather Plattner will be installed as soon as possible, prior to the next board meeting.

-Ordinance 2011-2012-02, setting time and location of meetings, the bank and legal representation, and location of ordinance files was read to the Board, approved by Margaret Wolf and seconded by Anne Colloton.

-Nancy Rinda and Dee Hinrichsen will audit the 2010-2011 minutes and financial reports by July 27 if possible.

 

Treasurer's Report

Haas gave an overview of the budget with some follow up questions by Colloton about next year's budget.

 

President's Report

-Hinrichsen reported that the 175th Hudson anniversary celebration went very well.  The library was well represented at the opening ceremonies, in the parade and the celebration at the park.  The Board appreciates the community involvement by the members of the library staff and how the library supported the Village of Hudson on this special day.

-Laura Haas, Dee Hinrichsen and Anne Colloton will meet on Thursday, July 21st at 5:00 PM to go over the budget appropriations.  Rinda will attend if possible.

 

No Old Business

 

New Business

-The Board okayed a copier service contract from R.K. Dixon to improve copier quality and maintain the copier in good condition.

-Hinrichsen moved and Haas seconded the motion to approve the Internet Use agreement with no changes.

-Rinda moved and Hinrichsen seconded to approve the Investment of Public Funds policy with no changes.

-The Board discussed community groups the library has or would like to establish collaboration and cooperation with as part of the Per Capita grant requirements.  The HAPLD has well established connections with a large variety of local community groups and will seek to develop more.

-The sewer smell the library has been experiencing continues.  Garman will call several septic system companies to get a price and determination of what needs to be done to address the situation.

-The grading of the area around the downspouts continues with help from Mr. Garman and Steve Lampert.

-The Board reviewed Garman's Fiscal Goal Objectives.  She will work on these goals for the upcoming year.

 

The meeting was adjourned at 8:35 as so moved by Dee Hinrichsen.
